1. About this policy

This policy explains how Taman Sari Luxury Private Pavilions (The Trustee for Outback2Ocean Stayz Trust, ABN 35 139 019 823) collects, uses, discloses and protects your personal information when you visit tamansari.com.au, contact us, or stay with us.

We handle personal information in accordance with the Australian Privacy Principles (APPs) in the Privacy Act 1988 (Cth).

In this policy, "we", "us" and "our" mean Taman Sari Luxury Private Pavilions. "You" means anyone who visits our website, enquires with us, or stays as a guest.


2. What personal information we collect

When you use our contact form, we collect:

• First name and last name
• Email address (required)
• Phone number
• Any information you choose to include in your message

When you contact us by email or phone, we collect whatever information you provide, including your name, contact details and the content of your enquiry.

When you make a booking, the booking is taken through our online booking provider (see section 6). Information collected at that point may include your name, contact details, address, arrival and departure dates, number of guests, details of any pet travelling with you, payment information, and any special requests or accessibility needs you tell us about.

When you stay with us, we may also collect dietary requirements, details of any pet, requests for in-pavilion massage services, and any other preferences you share so we can host you properly.

When you visit our website, we automatically collect your IP address, approximate location (usually city-level), browser and device type, operating system, referring website, the pages you view, how long you spend on them, and the links you click. This is collected through cookies and similar technologies — see section 5.

We do not deliberately collect sensitive information (such as health information) unless you volunteer it to us — for example, telling us about an allergy, a mobility requirement, or a medical condition relevant to a massage booking. Where you do, we use it only for the purpose you provided it.


3. How we use your information

We use personal information to:

• Respond to your enquiry
• Take, confirm, vary and manage your booking
• Arrange optional extras such as in-pavilion massage services
• Prepare the pavilion for your arrival, including pet arrangements
• Take payment, including deposits, balances and any additional charges
• Send you information relevant to your stay (directions, check-in details, house information)
• Meet our legal, accounting and tax obligations
• Understand how our website is used so we can improve it
• Measure the effectiveness of our advertising

We will only send you marketing communications if you have asked to receive them or would reasonably expect them, and every marketing email will include an unsubscribe option.


4. How we collect it

We collect personal information:

• Directly from you — through our contact form, by email, by phone, or in conversation
• Through our online booking provider when you make a reservation
• Automatically through cookies and analytics tools when you browse our website
• Occasionally from third-party booking or review platforms where you have chosen to contact us through them


5. Cookies, analytics and advertising tools

Our website uses cookies and similar technologies. Cookies are small text files stored on your device that let a website recognise your browser.

Google Analytics 4

We use Google Analytics 4, a service provided by Google LLC, to understand how visitors find and use our website — for example which pages are most popular and how people reach us. Google Analytics sets cookies that collect information including your IP address, pages viewed, time on site, and the links you click, including when you click through to our booking provider.

This information is aggregated and used for statistical purposes. We do not use it to identify you personally.

Meta Pixel

We use the Meta Pixel (Facebook Pixel), provided by Meta Platforms, Inc. The Pixel collects information about your visit — including pages viewed and actions taken — and shares it with Meta. We use it to measure the performance of our advertising and to show relevant ads to people who have shown interest in our property.

The Pixel may allow Meta to match your visit to your Facebook or Instagram account if you have one and are logged in.

Wix

Our website is built and hosted on the Wix platform, provided by Wix.com Ltd. Wix stores our website data on its servers and sets its own cookies, including cookies necessary for the website to function and for basic traffic statistics.

Managing cookies

You can control or delete cookies through your browser settings, and set your browser to refuse cookies. If you block all cookies, some parts of our website may not work as intended.


6. Our booking provider and payments

Bookings for our pavilions are taken through DirectOnline (book-directonline.com), a third-party online booking platform.

When you click "Book Now" on our website, you leave tamansari.com.au and are taken to the booking provider's own website. The information you enter there — including your name, contact details, stay dates and payment details — is collected and processed by that provider under their privacy policy and terms, not ours. We receive the booking details we need to host you.

We encourage you to read the booking provider's privacy policy before entering your details.

We also use Square to take card payments in person at the property — for example, additional pet fees or extras that were not included in your original booking. Square processes those payments under its own privacy policy, available at squareup.com/au/en/legal/general/privacy

We do not store your full card details ourselves.


7. Who we share your information with

We disclose personal information to:

• Our online booking provider, to take and manage your reservation
• Square, our in-person card payment provider
• Our bank, to process deposits, payments and refunds
• Massage therapists and other service providers, where you have requested those services — limited to what they need to attend your booking
• Google and Meta, through the analytics and advertising tools described in section 5
• Wix, as our website host
• Our accountant and professional advisers, where required
• Government agencies or law enforcement, where we are required or authorised by law

We do not sell your personal information, and we do not disclose it to third parties for their own marketing purposes.


8. Overseas disclosure

Some of the service providers we use store or process information outside Australia. In particular:

• Wix — servers in the United States, Israel and the European Union
• Google — United States and other countries where Google operates
• Meta — United States and other countries where Meta operates
• Square — United States and other countries where Square operates

By using our website and providing your information, you acknowledge that your information may be stored and processed overseas by these providers, and that overseas recipients may not be subject to Australian privacy law.


9. Security

We take reasonable steps to protect personal information from misuse, interference, loss, unauthorised access, modification and disclosure. Our website is served over an encrypted HTTPS connection, and enquiries submitted through our contact form are delivered to our business email account.

No method of transmission over the internet is completely secure. While we do our best to protect your information, we cannot guarantee absolute security.


10. How long we keep it

We keep personal information only as long as we need it for the purposes described in this policy, or as long as we are required to keep it by law — for example, financial records must generally be kept for five years under Australian tax law.

When we no longer need your information, we take reasonable steps to destroy it or permanently de-identify it.


11. Accessing and correcting your information

You can ask us for a copy of the personal information we hold about you, and ask us to correct it if it is wrong, out of date or incomplete. Contact us using the details in section 14.

We will respond within a reasonable period. There is no fee for making a request, though we may charge a reasonable fee for the cost of providing access in some circumstances. If we refuse a request, we will tell you why in writing.


12. Children

Our pavilions are adults-only accommodation and our website is not directed at children. We do not knowingly collect personal information from children.


13. Complaints

If you believe we have mishandled your personal information, please contact us first using the details in section 14. We will acknowledge your complaint and aim to resolve it promptly.
